Drive with Emma’s privacy statement

 

What we need

 

Drive with Emma take your privacy seriously and will only use your personal information to provide the services you have requested from us which may involve sharing your data with others. The exception to this is when we are required to share your data with the NHS Test and Trace system. Drive with Emma will be the ‘controller’ and ‘processor’ of your personal data. Data collected may include full name, contact number, email address, home address, date of birth, place of birth, driving licence number, driving licence valid from and to dates, additional needs / medical conditions and in case of emergency contact details. Some information may never need to be collected and information will only be collected if / when it is necessary.

 

Why we need it

 

We need to know your basic personal data and additional needs / medical conditions to ensure we are kept safe and legal and to help you achieve your goal of driving with optimum support. It is necessary to process this data to fulfil the contract between yourself and Drive with Emma and it may be in the legitimate interests of Drive with Emma to do so. Your written consent will be sought to hold data regarding your additional needs / medical conditions.

 

A licence check will need to be carried out before your first lesson. We will need the last 8 digits of your driving licence number to do this. We need to ensure your licence is correct and valid so the car insurance is not voided. 

 

Some further information is required by the Driver & Vehicle Standards Agency to book tests on your behalf or when completing the Pass Plus course. This information will only be requested if and when it is necessary.

 

Some further information is required by Motability for them to fund your driving lessons (where applicable).  Information gathered for them is only upon the request of BSM who carry out the administration of this on behalf of Motability. This information will only be requested if and when it is necessary.

 

What we do with it

 

All the personal data we process is held securely in the UK and is only accessible by Emma Hallett (owner of Drive with Emma).  

Your basic personal data and information about additional needs / medical conditions is used to provide you with driving lessons tailored to your needs. We will use your contact information to share with you information about lessons, tests and anything else relevant to learning to drive.

 

We would like to use your contact number / email address to send lesson reminders. We would also like to use your email address to send you receipts for payments received / refunds processed. 

 

It may be necessary to share your information with the Driver & Vehicle Standards Agency regarding booking tests and ensuring the driving examiner is fully prepared for your test, specifically regarding any additional needs / medical conditions.

 

It may be necessary to share your information with BSM / Motability if Motability are funding your driving lessons. BSM / Motability require more information than Drive with Emma would normally collect and store to carry out lessons. It may be necessary to discuss with BSM issues relevant to lessons and tests.

 

If you wish to have free access to Theory Test Pro’s online software it will be necessary to set up an account, so your name and email address will need to be shared with them.

 

I use a company called Total Drive to run an app which allows me to record details of your lessons, payments and progress. You have access to this via your own app. In order to set this up it is necessary for me to provide them with your name and mobile phone number.

If requested, I will need to share your name and contact details with the NHS Test and Trace system. I will keep a record of what information I share and when.

 

Information will only be shared with other third parties if the law allows.

 

How long we keep it

 

If you have provided us with contact information as you wish to start lessons in the future, this information will be destroyed once you have informed us you no longer wish to start lessons or be held for 1 month after the agreed start date for lessons if we are unable to discuss this with you. 

 

If you contact us enquiring about driving lessons and do not respond to confirm you wish to start them soon or in the future, your information will be held for 1 month then destroyed.

 

Records relating to your driving lessons are kept for 6 months after your last lesson and then destroyed.

 

If you have provided us with in case of emergency contact information this will be destroyed when you stop lessons.

 

Records relating to booking tests on your behalf are kept until your test has been passed and then destroyed.

 

Any information stored as requested by BSM / Motability will be held for 6 months after your last lesson and then destroyed.

 

We are required under UK tax law to keep records for up to 6 years after which time this information will be destroyed.  Records kept will include payments received / refunds processed and tests booked on your behalf.

 

Any records relating to the NHS Test and Trace system will be stored for 6 months.

 

What we would also like to do with it

 

We would like to use your name and email address to contact you about offers, promotions and latest news. This information is not shared with third parties and you can unsubscribe at any time via phone or email.

 

We would like to use your name and / or still images for marketing purposes on our website and social media (for example, when you pass your test).

 

What are your rights?

 

You will be asked to sign a consent request form detailing the different ways your information will be processed allowing you to agree to some or all of the elements.

 

You may also be asked to sign to say you still agree at the time your data is collected or is to be processed.  This is to ensure you are still in agreement for your data to be processed.

 

At any point you can request to see the information we hold on you and even have it corrected or deleted.  If you wish to do this please contact customerservices@drivewithemma.co.uk.  Your identity will be verified and a report will be provided free of charge within 28 days.

 

Drive with Emma is registered with the Information Commissioner’s Office (ICO).  If you are not satisfied with our response or believe we are processing your personal data not in accordance with the law you can complain to the ICO.
